  • Simplified sales definitions: Gross and Net Sales that reflect what was truly sold, refunded, or discounted.
  • Unified reporting so all refunds and payments in one clear view, so you’re never chasing missing totals.
  • Shift summaries that make sense: cash, card, and other payments shown together, with variances highlighted automatically.

Real numbers, real reporting. 

At Oolio, we’ve redefined how venue reporting works, so your numbers actually reflect your business. Here’s how we do it:


  • Sales recorded at time of sale
    Your revenue is recognised when an item is sold, not when it’s paid: covering on-account sales, post-settlement workflows, house tabs and internal sales.
    → You see your real daily sales instantly, even before payments are finalised. 
  • Gross Sales: Now calculated as: Item Price × Quantity – Refunds (including Refund by Amount)
    Refunds are no longer tracked separately, they now reduce your Gross Sales directly. This avoids over-reporting and simplifies reconciliation.
  • Net Sales (incl. Tax): Now calculated as:(Gross Sales after Refunds) – Discounts + Surcharges
    We’ve eliminated separate ‘Returns’ and ‘Sales Amount’ fields. This new definition bakes in tax for clarity, reflects what the customer was actually charged and matches modern venue workflows.
  • Total collected is now what you actually collected: New formula: Net Sales (incl. Tax) + Tips + Service Charges + Payment Surcharges + Rounding + Account Payments
    This now includes payments made against on account sales, service charges as a line item and clearer total for banking and settlement.
  • Refunds consolidated for simplicity: All refund types, including “Refund by Amount” are now merged into a single field. This means no more duplicated return logic and one source of truth.
  • Shift summaries that make sense
    Cash, Card, and Other Payments are now shown together, each with reported value, counted amount and variance.
    Plus: Variance isn’t just for cash anymore. It now includes card and other payments to help you spot mismatches at a glance.
